Who Is the Client?
It is a chain veterinary clinic headquartered in Dallas, Texas, USA, operating 18 branches across Texas, Oklahoma and Louisiana. The clinic provides routine pet physical examinations, vaccinations, sterilization surgeries, dental care and emergency services. Its service recipients are mainly dogs and cats, as well as small animals such as rabbits, hamsters and parrots.
Challenges Faced by the Client
- Heavy reliance on paper-based medical records — Medical records, vaccination logs, allergy histories and medication records of each pet were scattered across different folders and computer systems. Veterinarians had to check multiple sources during consultations, leaving no time for this process in emergencies.
- Opaque surgery scheduling — Operating room schedules of each branch were stored separately in front-desk systems, making unified scheduling impossible for the headquarters.
- Manual vaccine reminders — Pet vaccinations require strict time intervals. Front desk staff needed to manually check records and make reminder calls one by one, which was inefficient and often led to omissions.
- Wasted wall space in consultation rooms — Consultation and treatment rooms featured plenty of metal cabinet surfaces and partition walls, which remained idle except for a few pet posters hung on them. Meanwhile, doctors’ desks were piled up with sticky notes and printed documents.

In terms of product specifications, Vwin provided four customized sizes according to different areas and functional requirements of the clinic:
- Consultation Room Pet Medical Record Board: 90×120cm, wall-mounted or magnetically attached. Horizontal columns: Pet Name, Breed, Age, Owner Name, Contact Number, Allergy History, Current Medication, Attending Veterinarian, Remarks. Pet photos and vaccine labels can be magnetically attached to the board surface.
- Surgical Area Schedule Board: 120×90cm, wall-mounted. It displays daily schedules of each operating room, surgery type, primary surgeon, estimated duration and preoperative preparation status.
- Front Desk Vaccine Reminder Board: 90×60cm, wall-mounted. It lists pets requiring vaccinations in the next 30 days sorted by date for front desk staff to make daily reminder calls.
- Emergency Rapid Response Board: 120×180cm, wall-mounted. It shows ongoing emergency cases, vital signs, medication records, attending veterinarians and next treatment plans.
All whiteboards adopt high-quality galvanized steel panels with a medical-grade matte paint finish, resistant to repeated wiping with alcohol and chlorine-containing disinfectants and less prone to bacterial growth. The back features a strong magnetic layer that can be directly attached to metal cabinet surfaces and partition walls without drilling. The frame is made of rounded aluminum alloy with a seamless design for easy cleaning. Key information columns (allergy history, medication contraindications) are highlighted with red borders.
In addition, Vwin supplied supporting accessories: 50 magnetic fasteners per board (for attaching pet photos and vaccine labels), one set of color-coded vaccine labels (magnetic type in red/yellow/green/blue to mark vaccine status), a four-color medical whiteboard marker set and dedicated erasers for a one-stop supply.
Delivery and Services
After sample confirmation, Vwin completed mass production of all goods within 22 working days.
A total of 78 customized magnetic whiteboards were produced: 4 boards for each of the 18 branches plus 6 boards for emergency areas.
Each whiteboard was printed separately with the branch name and number for unified management by the headquarters.
The clinic logo and emergency contact number were permanently printed at the top of each board to enhance professional image.
Products were shipped by sea to the Port of Houston on CIF terms, with Vwin taking full responsibility for insurance and transportation.
Results
All 78 magnetic whiteboards were delivered to 18 branches and put into use within 4 weeks.
The chain clinic conducted an operational efficiency audit 6 months later, with the following relevant data:
